Everything you agreed to when you booked

These Booking Conditions apply to every journey booked through SnapTrip. By completing a booking, the lead traveller accepts these conditions for themselves and everyone included in the booking.

A. Your booking with SnapTrip

Your contract is with [Australian Company Name], ABN or ACN [insert], of [registered address].

The Australian company is responsible for arranging and delivering your journey as a whole. It engages [Sri Lankan Company Name], together with selected hotels, drivers, guides and activity providers, to deliver services in Sri Lanka.

In these conditions, “SnapTrip”, “we”, “us” and “our” refer to the Australian contracting company.

The lead traveller must:

  • Be at least 18 years old
  • Have authority to book for everyone included
  • Provide accurate information for each traveller
  • Ensure everyone included in the booking is aware of these conditions

 

Travellers under 18 must travel with a parent, legal guardian or another responsible adult authorised by their parent or guardian.

Instant online booking is available for up to six travellers.

Groups of more than six can still travel privately with SnapTrip but must contact us so we can confirm accommodation, vehicles, availability and pricing.

A booking is confirmed when:

  • The required payment has been received
  • SnapTrip sends a written booking confirmation

 

Please check the confirmation carefully and tell us promptly if anything is incorrect.

B. Prices and payment

Journey prices are shown per person. The final booking price depends on the selected journey, travel date, number of travellers and room arrangement.

The total price shown before payment includes all mandatory charges and applicable taxes payable to SnapTrip for the selected journey.

For bookings made more than 30 days before departure, you may choose to:

  • Pay 30% of the total journey price at booking, with the remaining 70% due no later than 30 days before departure
  • Pay the full journey price at booking

 

For bookings made 30 days or fewer before departure, the full journey price must be paid at booking.

If the remaining balance is not paid by the due date, SnapTrip may cancel the booking and apply the Cancellation Policy.

Paying in full early does not change the cancellation terms.

The price confirmed at booking is the price you pay unless:

  • You request a change
  • The number of travellers or room arrangement changes
  • Information provided at booking was incorrect
  • There was an obvious pricing or system error

 

SnapTrip will not add a surcharge after confirmation because of ordinary changes in exchange rates, fuel prices or supplier costs.

Card processing charges imposed by SnapTrip are included in the displayed price.

Your bank or card provider may apply its own currency conversion or international transaction fees. These charges are outside SnapTrip’s control.

C. What is included

Your journey includes the services shown on the relevant journey page and booking confirmation.

Unless the selected journey states otherwise, the price includes:

  • Accommodation
  • Breakfast and dinner
  • Private transport during the journey
  • Fuel, road tolls and vehicle insurance
  • A private driver guide
  • Transfers listed in the itinerary
  • Activities specifically listed as included
  • Entry fees for attractions specifically listed in the journey
  • Applicable government taxes relating to the included services

 

Unless specifically stated, the price does not include:

  • International or domestic flights
  • Passports, visas or travel authorisations
  • Travel insurance
  • Lunches, drinks, snacks or unlisted meals
  • Tips and gratuities
  • Personal expenses
  • Laundry, minibar or room service charges
  • Optional activities or excursions
  • Medical treatment
  • Excess baggage costs
  • Services booked independently from SnapTrip

 

Optional activities arranged directly with another provider do not form part of your SnapTrip booking.

D. Changes to your booking

You may request a significant change more than 30 days before departure. All changes depend on availability and supplier approval.

A requested change may include:

  • Changing the travel date
  • Moving to another journey
  • Replacing a traveller
  • Changing room arrangements
  • Changing the number of travellers

 

If an approved change increases the price, you must pay the difference.

If it reduces the price, SnapTrip will refund any recoverable difference after deducting supplier costs that cannot be recovered and reasonable costs caused by the change.

Significant changes are not normally accepted 30 days or fewer before departure.

We will still try to assist with minor administrative corrections, including contact details, dietary information or spelling errors.

Journey pricing may depend on the number of travellers sharing accommodation and transport.

If one or more travellers cancel while the others continue, the price per remaining traveller may change.

The cancelling traveller remains subject to the Cancellation Policy.

E. Changes or cancellation by SnapTrip

Travel in Sri Lanka may be affected by weather, road conditions, operating hours, wildlife movements, local events and supplier availability.

SnapTrip may reasonably change:

  • Accommodation
  • Transport
  • The driver guide
  • An included activity
  • The order or timing of the itinerary
  • Part of the route

 

Where possible, replacements will be of a comparable standard and serve a similar purpose within the journey.

A change to the order or timing of the itinerary is not considered significant where the main journey remains substantially the same.

If we must make a significant change before departure, we will explain the available options.

Depending on the circumstances, these may include:

  • Accepting the revised journey
  • Moving to another date
  • Accepting a suitable alternative journey
  • Receiving a travel credit
  • Cancelling and receiving an appropriate refund

 

SnapTrip may also change, postpone or cancel a journey where an event outside our reasonable control prevents it from operating safely or legally.

This may include:

  • A natural disaster
  • A pandemic or major public health emergency
  • Serious civil unrest
  • A government restriction
  • A border closure
  • Major transport disruption
  • Another event that could not reasonably have been prevented

 

A change in government travel advice does not automatically cancel a journey.

Where the journey can still operate safely and legally, a traveller who chooses not to proceed will be treated as cancelling the booking.

Nothing in this section limits any right or remedy that cannot legally be excluded.

F. Cancellation by the traveller

The separate Cancellation Policy forms part of these Booking Conditions.

The cancellation charge is calculated against the total journey price, regardless of whether you initially paid 30% or 100%.

The following rules apply:

  • Cancellation within 24 hours after booking confirmation receives a full refund
  • Cancellation more than 30 days before departure, after the first 24 hours, attracts a 30% cancellation charge
  • Cancellation 30 days or fewer before departure, after the first 24 hours, attracts a 100% cancellation charge and no refund

 

Any amount paid above the applicable cancellation charge will be refunded.

No refund is provided where a traveller:

  • Does not arrive for the journey
  • Arrives too late to use a confirmed service
  • Leaves the journey early
  • Chooses not to use an included service after the journey begins

 

G. Traveller responsibilities and conduct

Each traveller is responsible for:

  • Holding a passport that meets current entry requirements
  • Obtaining required visas and travel authorisations
  • Meeting immigration, customs, health and transit requirements
  • Arranging suitable international flights
  • Arriving at the agreed location on time
  • Providing accurate personal and travel information
  • Carrying required medication
  • Deciding whether the journey and its activities are suitable for them

 

Passport and visa requirements vary by nationality and may change.

Travellers must confirm current requirements with the relevant authorities before departure.

Information provided by SnapTrip about entry requirements is general guidance only.

SnapTrip is not responsible for missed services or additional costs caused by:

  • Invalid or insufficient travel documents
  • Visa refusal
  • Denied boarding
  • Immigration refusal
  • Late arrival
  • Flight disruption
  • Incorrect information supplied by a traveller

 

Tell us before booking, or as early as reasonably possible, about any relevant:

  • Medical condition
  • Allergy
  • Dietary requirement
  • Disability
  • Mobility limitation
  • Other requirement that may affect participation

 

We will make reasonable efforts to assist but cannot guarantee that every hotel, vehicle, attraction or activity will suit every requirement.

Travel insurance is strongly recommended.

Travellers should consider cover for:

  • Cancellation
  • Overseas medical treatment
  • Emergency evacuation
  • Travel disruption
  • Baggage and personal belongings
  • Activities included in the journey

 

Travellers must behave lawfully, safely and respectfully toward SnapTrip staff, suppliers, local communities and other travellers.

SnapTrip may restrict or end a traveller’s participation where their behaviour is unsafe, abusive, unlawful or seriously disruptive.

A warning will normally be given where reasonable. Immediate action may be taken where safety is at risk or serious misconduct has occurred.

Where participation is ended, the traveller is responsible for resulting transport, accommodation, damage and other costs.

No refund is provided for services lost because of the traveller’s conduct.

H. Problems, responsibility and general terms

Tell your driver guide or SnapTrip as soon as possible if a problem occurs during the journey.

This gives us a reasonable opportunity to investigate and try to resolve the issue while you are travelling.

If the issue remains unresolved, submit a written complaint within 30 days after the journey ends.

The 30 day request does not remove any right that cannot legally be excluded.

SnapTrip is responsible for using reasonable care when designing, arranging and managing the confirmed journey.

We take reasonable steps to select suitable hotels, drivers, guides and activity providers and to address problems affecting included services.

SnapTrip is not responsible for loss caused by:

  • A traveller’s actions or omissions
  • Failure to follow reasonable instructions
  • Undisclosed requirements affecting participation
  • Invalid travel documents
  • International flight disruption
  • Services booked independently
  • Events outside SnapTrip’s reasonable control

 

Nothing in these conditions excludes, restricts or modifies any consumer guarantee, statutory right or remedy that cannot legally be excluded.

If one part of these conditions is found to be invalid or unenforceable, the remaining parts continue to apply.

These conditions are governed by the laws of [Australian State or Territory], subject to any mandatory law that applies.
